Our madrasa management software is made for institutions whose day does not look like a general school's day. A Hifz student recites a new lesson, revises the last one and repeats older paras. A residential student needs a gate pass to go out. Donors want to know that Zakat money was not spent on construction.

What madrasa management software must do that a school system does not

A madrasa in Bangladesh that tries a general school system soon finds that it does not fit. The reason is simple: the daily work is different. A school counts periods and GPA. A madrasa also counts paras memorised, lessons revised, students on Lillah boarding and money received as Zakat. Good madrasa management software has to understand these ideas without forcing the office to bend them into school terms.

Before you compare options, list the records your madrasa keeps by hand today. In most places the list includes:

  • Hifz records: the new lesson (sabak), the recent revision (sabqi), older revision (amukhta) and mistakes.
  • Residential life: hostel rooms, meal fees, gate passes and night roll calls.

Hifz, Befaq and residential life

Daily Hifz report

The ustaz records the para, surah and ayat range for sabak, sabqi and amukhta, plus the number of mistakes. The Muhtamim can see which students are moving well and which need attention, and guardians see the same record in the app the same evening.

Befaq divisions and Alia GPA

Results use Befaq divisions such as Mumtaz, Jayyid Jiddan, Jayyid and Maqbul for Qawmi, Hifz and Nurani classes, and GPA for Alia classes. Befaq registration and the Befaq report cover levels from Ibtidaiyyah to Takmil and Hifz. Certificates, testimonials and TC carry a serial number and a QR code that anyone can check on the website.

Gate pass and QR gate scanner

A phone or laptop camera at the gate reads student ID cards for in, break and out, and marks a student present or late. The gate pass shows who is outside and for how long, and raises an alert when someone is late coming back.

How to choose madrasa management software

Many products sold as a madrasah management system are school tools with a renamed menu. A short test during the product tour shows the difference quickly. Ask these questions and expect to see the answer on screen:

  1. Ask to see a Hifz report on screen. If the vendor only shows class marks, the system was built for schools.
  2. Check how funds are kept. Zakat, Lillah, Sadaqah and construction money must stay separate in the records, with vouchers and a donor list.
  3. Check fee concessions. Half, full and Lillah boarding concessions should be set once and applied to every monthly bill.
  4. Ask how guardians are reached. SMS alone is not enough for families abroad. A guardian app with messages and requests for meetings or leave helps a lot.
  5. Ask who controls the data. The system should run on your own domain and hosting, with backups you can download.

What affects the cost

We do not publish a price. The cost depends on the modules you need, how much old data must be entered or imported, the SMS company and bKash account we connect, and whether you want the Nexteio credit removed through white-label. Hosting, domain and SMS credit are paid to those providers. After a requirements call we send a written quote, so the committee can see what is included before approving it.

Local points to plan for

Online payment uses bKash Tokenized Checkout for fees and website donations. Cash, Nagad and bank payments are recorded by hand by the accountant, so every payment still ends up in the same ledger. BulkSMSBD is built in, and other SMS companies work through a URL template that we set during setup. The system switches between Bangla and English, and each user's choice is remembered.

The guardian app and the teacher app come as Android APK files that are installed outside the Play Store, so Android asks to allow unknown sources. Instant phone notifications currently work when the app is added from Chrome to the home screen, not inside the APK. We explain both options to your staff during setup.

Mistakes to avoid

  • Starting with every module on day one. Begin with admission, attendance and fees, then switch on Hifz reports, canteen and library once the office is comfortable. Any section can be switched off for the whole madrasa.
  • Sharing one admin login. Give the Muhtamim, accountant and each teacher their own login and role, and turn on two-factor login for anyone who handles money.
  • Wrong guardian numbers. SMS and OTP login depend on correct mobile numbers, so check them during admission.
  • Skipping HTTPS. The guardian app and notifications need HTTPS, so plan for it with your hosting.

How setup works

We install the madrasa management software on your domain with the web installer, set the cron job and HTTPS, and add your name and logo. We connect your SMS company and bKash, set up departments, classes, fee heads, concessions and funds, and import student lists when needed. Then we check the Hifz report, fee collection and guardian app with your staff before handover. After that we support the system under a maintenance agreement, which needs server access and a contract.

Online payment uses bKash Tokenized Checkout, for both fees and website donations. Cash, Nagad and bank payments are recorded by hand by the accountant, so all payments appear in one ledger. Card payments and a Nagad gateway are not available.
05 Can we keep Zakat and Lillah money separate?
