What Real Estate Management Software Should Do for a Property Company

Most property firms in Bangladesh start with a sales register, a collection book and a few Excel files. That works for one building. Once you run three or four projects at the same time, the gaps show: an installment is missed, a unit is promised twice, or the owner cannot get a clear figure for unsold stock without asking three people. Good software closes those gaps by keeping one record for each unit and each buyer, and linking every payment to that record.

At minimum, the system should handle these jobs:

  • Stock control: every flat, shop, parking space or plot with its size, rate and current status.
  • Sales pipeline: leads, site visits, follow-ups and bookings, with the officer who handled each one.
  • Payment plans: booking money, down payment, installments and any stage payments, each with a due date.
  • Collections: money receipts, buyer ledgers and late payment lists.
  • Project accounts: what came in and what went out for each project.

Rental owners need a different set: tenants, leases, advance deposits, monthly rent, service charges and repairs. Many companies need both, because they sell some units and keep others to rent out.

Installments and dues

This is where most firms lose money and time. The schedule should be generated from the sale agreement, not typed by hand. When a buyer pays less than the due amount, the balance should carry forward and appear on the next statement. Late fees, if your agreement has them, should follow a rule you set, with an approval step for any waiver.

Most foreign property management software is built for markets where tenants pay by card and leases follow a standard form. Before you pick any system, ask these questions:

  1. Can it model your actual payment plans, including stage payments linked to construction progress?
  2. Can it keep landowner units separate from saleable units?
  3. Does it record bKash, Nagad, cheque and bank deposits, and print a money receipt in your own format?
  4. Can it send SMS reminders to buyers in Bangla?
  5. Can a sales officer use it from a phone browser at a site office with weak mobile data?
  6. Who owns the data and the source code, and where is it hosted?

Bangladesh-Specific Points to Plan For

Joint venture projects. Many buildings go up on land owned by someone else. The landowner gets a share of flats, a signing amount and sometimes monthly rent support while construction runs. These entries need their own place in the system, or your saleable stock and project cost figures will be wrong.

Mixed payment methods. Buyers pay in cash at the office, by cheque, through bank deposit slips and through mobile wallets. Each method needs a reference field so accounts can match it with bank statements. Online payment through SSLCommerz or a bKash merchant account can be added when you want buyers to pay from home.

Buyers living abroad. Many flat buyers are Bangladeshis working overseas. A buyer portal where they can see their statement, download receipts and read construction updates saves a lot of phone calls across time zones.

Power cuts and slow connections. Site offices often depend on weak mobile data. Screens should be light, and the system should sit on a reliable server with regular backups rather than a single office computer.

Language. Management may read reports in English while buyers prefer Bangla SMS and receipts. Both can be supported side by side.

What Affects the Cost

  • The number of users, branches and projects.
