HR Payroll Software for Companies and Factories in Bangladesh
We build HR payroll software for offices, factories, hospitals and NGOs in Bangladesh. It keeps employee files, pulls attendance from your devices, applies your leave and overtime rules, and turns all of it into a checked salary sheet and payslips each month, without rebuilding Excel formulas every time.
Bangla & English
Payslips, letters and screens
Your pay rules
Grades, allowances, leave and overtime set to your policy
Web based
Opens in a browser on office PCs and phones
Role-based access
Pay figures shown only to people you choose
Salary day should not depend on one person's spreadsheet
HR payroll software replaces the attendance register, the leave file and the salary workbook with one system your HR and accounts teams share. Each month the salary sheet is built from the same records everyone can see, so fewer figures are typed by hand and fewer mistakes reach the bank.
We do not sell a boxed package. We study how your company pays people today: grades, allowances, shift patterns, overtime, deductions and who approves what. Then we build the system around that process and set it up on your server or a hosting plan you control.
The goal is simple. HR spends less time chasing numbers, staff get clear payslips, and management can see salary cost by department or branch before money leaves the account.
Salary sheets break when one formula changes
A new allowance or a changed grade means editing dozens of Excel cells. One wrong reference can underpay a whole department without anyone noticing.
Attendance and payroll do not talk
Punch data sits in the fingerprint machine software. Someone exports it, cleans it and copies late marks and overtime into the salary file by hand.
Leave balances are argued, not known
Staff and supervisors keep their own counts of casual, sick and earned leave. Disputes come up at month end and slow down the salary run.
Bonus, PF and loan records live in separate files
Festival bonus lists, provident fund ledgers and salary advance records are kept apart, so deductions get missed or applied twice.
Management sees the salary cost too late
Owners only learn the real monthly cost by department after the bank sheet is ready, when it is too late to question overtime or extra hires.
Modules we can include in your HR payroll system
- 01
Employee profiles and documents
Personal details, joining date, grade, bank or mobile wallet account, nominee, and scanned NID, certificates and appointment letters in one file.
- 02
Departments, branches and designations
Set up your organogram so reports, approvals and salary cost can be split by unit, branch or project.
- 03
Attendance and device sync
Punches are pulled from fingerprint or face devices, or entered manually, with late, early leave and absent marks worked out by your rules.
- 04
Shifts and rosters
Day, night and rotating shifts, weekly holidays by group, and government holidays set once for the year.
- 05
Leave requests and balances
Staff apply online, supervisors approve, and balances for each leave type update by themselves, including carry forward where your policy allows it.
- 06
Overtime calculation
Overtime hours come from attendance and are paid by the rate and limits you set, with approval before they reach the salary sheet.
- 07
Salary structure and monthly run
Basic, house rent, medical, conveyance and any other heads by grade, with arrears, deductions and a review step before you lock the month.
- 08
Festival bonus
Eid, Puja or other festival bonuses calculated by your eligibility rules, such as service length, and paid with salary or on their own.
- 09
Loans and salary advances
Record advances and loans, set the instalment, and let the system deduct it each month until the balance is cleared.
- 10
Provident fund and gratuity
Employee and company PF contributions, running balances and gratuity estimates based on the terms in your service rules.
- 11
Tax deduction on salary
Monthly tax deducted at source using the slabs and rules you confirm with your tax adviser, with yearly statements for each employee.
- 12
Payslips and bank sheets
Payslips in Bangla or English, bank advice files and mobile wallet payment lists generated from the locked salary month.
- 13
Employee self-service
Staff log in from a phone to see attendance, leave balance and payslips, which cuts down routine questions to HR.
- 14
HR and payroll reports
Headcount, turnover, overtime by department, salary cost by branch and month-on-month comparisons, ready to export.
Who we build HR and payroll systems for
Garment and manufacturing units
Large worker counts, shift rosters, overtime and attendance devices on every floor.
Companies with several branches
One head office view of staff and salary while each branch handles its own attendance and leave.
Hospitals and clinics
Doctors, nurses and support staff on rotating shifts, night duty and different pay rules.
NGOs and project-based teams
Staff paid from different projects or donors, with salary cost split by project for reporting.
Retail and distribution businesses
Shop and depot staff spread across locations, with commission or incentive on top of salary.
What changes after the system goes live
Payroll mistakes are rarely about maths; they come from data copied between files, and a single system removes most of that copying.
Book a free call-
Salary is built from records, not retyped
Attendance, leave, overtime and deductions flow into the salary sheet, so HR reviews numbers instead of copying them.
-
Staff trust their payslips
Every amount on a payslip can be traced back to attendance, leave or a recorded deduction, which settles most disputes quickly.
-
Policy changes are made in one place
When a grade, allowance or leave rule changes, you update the setting once and the next run uses it.
-
Approvals leave a trail
Leave, overtime and salary changes record who approved them and when, which helps during audits and internal reviews.
-
Owners see cost before paying it
Salary cost by department, branch or project is visible before the month is locked, not after the money is gone.
-
Salary data stays restricted
Role-based access means supervisors see attendance while only chosen people see pay figures.
What HR payroll software has to do for a company in Bangladesh
Most companies start payroll with an attendance register, a leave file and an Excel workbook that one trusted person understands. It works while the staff list is short. Once you have shifts, several branches or a few hundred workers, the workbook becomes the weakest point in the office. A good system replaces it with records that HR, accounts and management all read from.
Some buyers only want salary processing. Others want full HR management software that also covers recruitment, confirmation, transfers, warnings and final settlement. Decide early which group you are in, because it changes the module list, the number of users and the way approvals move through the office.
At a minimum, the software should cover these jobs:
Employee records
Every person needs one profile with joining date, grade, department, branch, bank or mobile wallet account, nominee and documents. Promotions, transfers and increments should be stored as history, not overwritten, so you can always see what someone was paid and why.
Attendance, leave and overtime
Attendance is where payroll errors start. The system should pull punches from your fingerprint or face devices, apply your shift times and grace period, and mark late, absent and overtime hours automatically. Leave requests should be approved online and balances should update on their own, so nobody has to count at month end.
Salary, deductions and payslips
The salary run should take the grade structure, attendance, approved overtime, arrears and deductions, and produce a sheet HR can review before it is locked. After that, payslips, bank advice files and wallet payment lists should come from the same locked data.
How to choose HR payroll software that fits your rules
Many ready-made payroll software packages look fine in a sales presentation and then struggle with local rules. The same is true of generic HR software built for other countries. Before you decide, test the options against your own salary sheet. Ask these questions:
- Can it handle your salary heads? Basic, house rent, medical, conveyance, special allowances, attendance bonus and any head unique to your company.
- Can it follow your leave and overtime policy? Different leave types, carry forward rules, holiday duty and overtime limits by worker category.
- Does it work with your attendance devices? If the punch data must still be exported and cleaned by hand, half the benefit is lost.
- Who can see salary figures? Supervisors may need attendance but not pay. Look for permissions by role and by branch.
- Can it grow with you? New branches, a new factory unit or a new pay grade should be settings, not a rebuild.
If no package fits without heavy workarounds, a system built for your process is often cheaper over time. Our guide on when a company needs its own software explains how to make that call.
Bangladesh-specific points to plan for
Payroll here has details that foreign tools often ignore. Plan for them from the first meeting:
- Labour law rules. Overtime rates, leave entitlements, maternity benefit and service benefits should follow the Bangladesh Labour Act and your own service rules. We set the rules you confirm; your HR or legal adviser decides the policy.
- Festival bonuses. Eid and Puja bonuses with eligibility based on service length or confirmation status.
- Provident fund and gratuity. Contribution rates, loan against PF and running balances per employee.
- Tax on salary. Monthly deduction at source and a yearly salary statement employees can use for their returns.
- Payment channels. Bank transfer for office staff, and bKash or Nagad lists for workers who do not have a bank account.
- Bangla payslips. Factory workers often prefer payslips and notices in Bangla.
- Power cuts and slow internet. Attendance devices store punches offline, and the system should sync them once the connection is back.
What affects the cost of HR payroll software
We do not publish a fixed price because two companies rarely need the same system. The quote depends on a few things:
- How many modules you need, from basic attendance and salary to PF, loans, recruitment and self-service.
- The number of employees, branches and HR users.
- Integrations with attendance devices, banks, SMS or your accounting system.
- How much old data must be cleaned and imported.
- Whether it runs on your own server or a hosting plan we help you choose.
If your finance team also wants salary entries posted to the books, it can connect with accounting software. Factories often combine payroll with production and stock in a manufacturing ERP.
Mistakes to avoid
- Going live without a parallel run. Always run the new system next to the old sheet for at least one month and compare totals person by person.
- Importing messy data. Duplicate employee IDs and wrong joining dates will follow you into the new system. Clean them first.
- Giving everyone admin rights. Salary data is sensitive. Set roles before staff start logging in.
- Skipping backups. Payroll history is needed for audits, tax and final settlements. Keep daily backups on a server you control; our article on choosing between shared, VPS and dedicated hosting helps here.
- Writing every exception into code. Rules that change often, like bonus eligibility, should be settings HR can update.
How we set up the system with you
We build payroll systems as a Laravel web application, so it opens in any browser and can run on your office server or online hosting. If you want to know why we use this stack, read what the Laravel framework is and why businesses use it.
The work starts with a requirements call where we go through your current salary sheet and policies. We then share a module plan and a quote. During the build, you see working screens early and give feedback. Before go live we import employee data, opening balances and loans, and run a parallel month. After handover, we support the system under a maintenance agreement.
